Below are highlights of the many features of the Remote Classroom Instruction (RCI™) management software that allows us to manage the process of delivering classroom training to over 200 locations across the US.

Managing Site Classrooms and Instructors

Viewing Classes by Site
The Calendar tool is a component of the RCI management software that shows upcoming classes in various ways. When the calendar view is set to show classes by site, the tool can be used to determine room capacity and resource availability in a particular location. The picture below shows a weekly schedule along with the office and equipment information for the site.
Viewing Classes by Course
When the Calendar tool is set to show classes by course, the view displays all enrollments in a particular course across all locations. In the example below, we can see that Microsoft’s 2433 class running on May 3, 2010 has 7 participants. They are joining the class from ONLC’s training facilities in Montgomery, Alabama; Phoenix, Arizona; Columbia, Maryland; Paramus, New Jersey; Houston, Texas; Federal Way / Tacoma, Washington; and Martinsburg, West Virginia locations with the instructor teaching from our Princeton, New Jersey site.
It is not uncommon to have small classes like this that links people in our classrooms across the country.
Managing Overflow Rooms
While ONLC leases classrooms in over 200 facilities, it is often necessary to rent overflow rooms to accommodate short-term increases in demand. In a given month, hundreds of overflow rooms might be needed across all of our locations.
The RCI software management tool is able to track where additional rooms are needed in real-time as registrations are taken. The tool shows that status of the request as well as noting any special requirements that needed to be communicated to the site such as classes starting or ending after normal business hours.
Book Shipments
The Book Orders tool facilitates courseware ordering for upcoming classes. The tool shows the enrollments for a selected time frame along with the status of the corresponding courseware order. Since registrations are happening continually, the tool is often used to display enrollments for which an order needs to be placed, as shown in the picture below:
Computer Connections
Remote Classroom Instruction requires many computer connections. Each student lab computer in a remote location has to be connected to a corresponding computer in a classroom or a rack of servers in one of our 4 data centers. In addition, each student also has a second computer that is used to view the instructor’s desktop and whiteboard work.
On any given day, if 200 students were starting training events, each using 2 computers, they would need to connect their 400 computers to the corresponding computers in the instructor classrooms or data centers.
You can easily see how hundreds of computer connections need to be made in the span of less than an hour on any given day! Our RCI management software facilitates this complex task.
The tools that we use to manage computer connections are divided into three categories: making connections, monitoring connection status, monitoring connection health. Scroll down to see each section or click on a link below to jump directly to that section.
The GoToMyPC® Connections screen shows a list of all current student workstation connections and their status. The list can be filtered to show only connections for classes starting on a particular day or only connections that have not been established.
The AutoConnect system will generate an alert message when a field computer is unable to connect to a computer that is expected to be available for connection. This allows the technician receiving the email to identify and correct the problem quickly.
The GoToMeeting® Status screen shows all active class meetings. The AutoConn field at the very right shows a list of the locations that are to connect to a particular meeting and the reported connection status of the computers expected to connect.
The Last Connect Time page shows a list of field computers expected to make a class connection. The page reports the last time the computer made a connection to a class or to run an update. The information can be used to identify computers that are offline.
Our Remote Access interface, pictured below, allows us to connect to field computers for the purpose of troubleshooting connection issues. Multiple users are able to use the interface simultaneously. The Field computers list sorts by location and can be filtered to quickly find a particular site.
The picture below shows the desktop of a field computer that has been accessed via the remote access program. In addition to control of the desktop, the interface allows you to send files, send and retrieve Clipboard contents, and issue commands to the accessed computer.
Monitoring Connections is accomplished via the Ping Statistics page which displays the latest statistics for the current connections. Autoconnect computers are programmed to collect data on the health of the connection between the remote computer and the GoToMyPC® / GoToMeeting® server by pinging the GoTo server from the remote PC. The data shows the remote computer name, the last 3 minute average ping statistic, the highest 3 minute ping average for the day.
Double clicking on a row on the Ping Statistics page will open a new window displaying the collected data for that particular remote computer. It is possible to drill into the detail by specifying a smaller time range.
